VBC Planning Committee Structure Overview
The group that plans the VBC consists of a core planning team meeting and 6 committees that carry out work on behalf of the core planning team. A brief overview of the committees is listed below. (This is the first year in which we are attempting to use this 6 committee structure; a full description -- though rough & evolving -- of all committees is available here).
Publicity
The publicity committee is responsible for all the ways VBC describes itself in print, on the web and through audio & video. It creates media to attract attendees & volunteers and it documents & archives the entire event. The committee also plans the City Repair booth (provides info/sells VBC T-Shirts & Placemaking resources), which is part of the Village Market.
Evening
The evening committee is responsible for planning and executing all the evening events. This includes finding and securing a central event venue; organizing evening offerings such as guest speakers, music and other interactive content; plan, prepare and serve meals to attendees; plan & execute the NEST (sells treats); plan and manage the ticketing booth/entrance; Facilitate VBC venue build-out, tear down and daily cleaning
Daytime
The daytime committee plans & facilitates the opportunities and services we offer to attendees during the daytime hours of VBC. It develops daytime workshops offered at placemaking project sites, plans opportunities for education in placemaking and/or permaculture design at the central venue and coordinates the daytime management of the VBC venue. Also, this commitee coordinates any closing ceremony and/or other activities on the closing day (the second Sunday) of the VBC.
Resources
The resources committee manages money and materials. It budgets for and oversees the income & expenses of VBC, solicits and plans for sponsorships & donations (such as food, building materials for sites, auction items), carries out any other needed fundraisers and manages advanced ticketing. Also, the resources committee does the advanced planning for the Village Market (community goods & info booths at the VBC venue).
Volunteers
The volunteer committee oversees the recruitment of, supervising of and communication with volunteers. It is responsible for bringing new volunteers into VBC and helping them connect with ongoing needs; it helps other committees plan for their volunteer needs; and it provides a structure & policies for volunteer compensation.
Placemaking
The placemaking committee recruits and guides neighborhood placemaking sites (projects). It solicits proposals for neighborhood project sites, guides project site hosts in the skills key to building community and creating a neighborhood project and assists sites with technical needs, materials & any permit processes.
